Meeting Room Policy

A meeting room is available in the Pontiac Public Library primarily to support library programs and functions which further the goals of the library. When not being used by the library, the room is available to established not-for-profit groups based in Pontiac, IL. The library does not limit use of the meeting room based on the subject matter or content of the meeting or on the beliefs or affiliations of the meeting’s sponsors.

Except for library or library-related programs, groups may not use the meeting room more than once each month; limited series of weekly or daily meetings may be scheduled at the discretion of the library director. Rules and procedures for use of the meeting room are established by the Pontiac Public Library Board of Trustees and are reviewed bi-annually. A copy of the rules and procedures will be provided with the application for meeting room use. A completed and signed application must be returned to the library director in order to reserve the meeting room.

Groups using the meeting room are required to set up for their meeting, return furniture and equipment to its original location, and leave the room clean and in good condition. The library cannot provide consumable supplies, such as pens and paper. Meeting planners are encouraged to provide their own equipment.

Use of the meeting room does not imply endorsement, support, or co-sponsorship by Pontiac Public Library of the activities that take place in the meeting room or of the beliefs of the group using the meeting room. Groups or individuals using the meeting room may not imply that the event or program is sponsored, co-sponsored or endorsed by the library in any advertising or publicity without the written consent of the library director.

No selling, solicitation, or taking of orders may occur without written permission of the library director. Authors may be granted permission to sell books, but the library will not be responsible for making change or handling transactions. No admission may be charged for programs held in the meeting room. Maximum capacity of the meeting room is 40 persons. No smoking, serving of alcohol, or cooking is permitted. There is no refrigerator for public use. All trash and recyclables must be removed before the library closes. Groups failing to comply with any part of this policy or the established procedures will be denied further use of the meeting room. A library staff member may be present at any time during the meeting. Those attending meetings in the program room may not leave children under the age of 8 unattended in the library. The board of trustees reserves the right to revise or change these rules at any time.

Pontiac Public Library reserves the right to revoke permission to use the program room at any time.

Pontiac Public Library is subject to the requirements of the Americans with Disabilities Act of 1990. Groups that plan to use the meeting room must, by law, provide accommodations for individuals with disabilities upon request. Individuals with disabilities who plan to attend this meeting and who require certain accommodations in order to allow them to observe and/or participate in this meeting, or who have questions regarding the accessibility of the meeting or the facilities, are required to contact the group holding the meeting promptly to allow them to make reasonable accommodations for those persons.
